How to Use the Document Status Tool

Step 1: Select a Category 📂

When you open the page, choose a category to begin:

  • Ship's Documents

  • Crew Documents

Once selected, you can add new entries or load previously saved data for easy management.

Step 2: Add New Document Details 📝

Click the Add button to create a new line in the table. Fill in the following fields:

  • Name of Document: Enter the document's name.

  • Issued Date: Specify the document's issue date.

  • Expiry Date: Enter the expiration date in the correct format DD.MM.YYYY. This field is mandatory for proper tracking!

Important: Fields can be saved with or without data, but the expiry date must always follow the correct format.

Step 3: Manage Your Entries 🔄

  • Delete Specific Lines: Click the bin icon next to a line to delete it.

  • Delete All Entries: Use the Delete All button to clear all data. Confirm the action by clicking the Yes button in the prompt.

Step 4: Save Your Data 💾

Before leaving the page, ensure all changes are saved by clicking the Save button. This ensures no information is lost.

Step 5: Understand Color Status Indicators 🚨

The table provides visual status indicators for document expiration:

  • Yellow: Indicates that the expiry date is within 90 days or less from the current date. This serves as a warning to renew the document.

  • Red: Indicates that the expiry date has already passed. Immediate attention is required!

Step 6: Add Additional Details 🖊️

Below the table, you can complete the form with the following:

  • Name of Ship and Issued By: These details must be pre-saved on the General Info section of the Ship's Data page.

  • Date of Issue: Record the date of issue for this form.

  • General Remarks: Add any notes or observations as needed.

Step 7: Access Personal Records 📖

Click the Book Icon at the top of the page to open a private field for maintaining your own records.

Step 8: Print or Save the Document Report 🖨️

After completing and saving the details:

  1. Click the Print Button to load the Document Status Printout Form.

  2. Use the Print Icon in the top-right corner to either print the form directly or save it as a PDF.
